Build and publish a digest

This feature is available to administrators only.

Overview

Most of the people who need your feedback data will never open the dashboard. A digest brings the data to them: an email on a schedule, built from the sections you choose, scoped to what each recipient is allowed to see, in their own language. You build it once, publish it, and it goes out on its own until you change it.

Create a digest and set its schedule

  1. Open the list. Go to the Digests page, under Admin. Each row shows the digest Name, its Statut, (either Draft or Live) then Sent, Subscribers, Delivered, Open, Last edition and Last sent, with an Edit button and a ⋮ menu.
  1. Create the digest. Click + Create a new digest at the top right. The editor opens on a digest in Draft.
  1. Set the frequency. Under Schedule, Send digest every takes a frequency, then the moment inside it, then a time.
  1. Choose the period the figures cover. Data date range is set separately from the frequency. The two are independent on purpose: a digest sent every Monday can report on the previous week, or on the year to date.
  1. Decide what happens on an empty period. The Do not send if there is no data toggle is off by default. Turned on, it is evaluated per subscriber: someone with no data in any section receives nothing, while a colleague who does have data still receives theirs.
  1. Set the language. Under Language, choose the Default language, then use Translations to add languages and manage their content.
  1. Write the email. Under Content, fill in the Email subject, which is what recipients see in their inbox, and the Digest title, which is the heading displayed at the top of the digest itself. Segment to display displays, at the top of the digest, the segment values available to the recipient, so each subscriber sees the perimeter their figures cover.
  1. Build the body. Click + Add section and pick a type (see the section "Configure each type of section" below). Repeat for every block you want. Each section carries a ⋮ menu with Duplicate, Move up, Move down and Delete, which is how you order the digest.
  1. Check it as a subscriber will see it. The Preview panel renders the email, and the as selector above it switches between subscribers, so you can check the data scope and the language each one receives. Use Send test email as described in the next section.
  1. Publish. Your work is saved as you go, which "Draft saved" confirms, but nothing reaches subscribers until you publish. Click Publish on a draft, or Update on a digest already live. "No unpublished changes" means the live version matches what you are looking at. Discard reverts the digest to its current live state, losing every unpublished change, after a confirmation.

Send yourself a test before publishing

The preview renders the layout, and a test send shows you the real email in a real inbox. It sends the draft, so this is how you validate a digest before anyone subscribed receives it.

  1. Open the dialog. Click Send test email at the top right of the Preview panel.
  1. Choose the period to test. The dialog has its own Data date range, independent from the one saved on the digest, so you can check a monthly digest against the current day rather than waiting for the month to end.
  1. Choose whose data to simulate. Receive this digest as picks a subscriber, and the test arrives with that person's data scope and language.
  1. Choose where it lands. Send test email to: takes one or several addresses separated by a space. This is deliberately separate from the previous field: the subscriber you simulate does not receive anything unless you type their address here.
  1. Send. Click Send test email. Test sends do not count in the digest statistics, so you can repeat them without distorting the Sent, Delivered and Open figures of the list.

Choose who receives a digest

Subscriptions work on two levels, so that you configure a role once instead of every user.

  1. Add the roles that should receive it. In the Subscribers block, click Add user role subscribers and pick your roles. Every user of those roles whose subscription mode is Inherited from user role then receives the digest. Role-level assignment covers the roles created for your company: users of the platform's built-in roles have to be added individually.
  1. Add the individuals who need it as an exception. Click Add custom subscribers and search by email. Adding someone this way switches them to Custom mode, so they stop inheriting the digests of their role, and the platform warns you before it does.
  1. Set a user's mode. The mode lives on the user: open the Users page, under Admin, select the user, then the Digest Assignation section, where Inherited from user role pulls the digests of their role, read-only there, and Custom lets you pick them by hand. New users start as inherited.
  1. Assign digests to a role. The reverse view sits on the Users role page, under Admin, on the role, in its Digest Assignation section. Editing it applies to every user of that role in inherited mode, which is what makes this the low-maintenance route.
  1. Check who will actually receive it. Summary of subscribers lists the email addresses of everyone concerned, roles and individuals together. Each subscriber also carries a status: Published means they were subscribed when the digest was published and will receive it, Added after publication means they will not receive this edition, and Removed after publication means they still will. Publish again to apply your changes.

Adding a role changes nothing on its own if none of its users is in inherited mode, which is the usual reason a role-level assignment appears to do nothing.

Configure each type of section

Every section shares the same base: a Title, an optional Subtitle, and a FILTER DATA block where + Add filter restricts that section alone by resolution status, presence of a comment, respondent profile, survey or tags. Several sections also offer Color coding, which assigns a colour to one or more ranges of values so a figure reads as good or bad at a glance. What follows is what each type adds on top.

  • Profiles breakdown. Promoters, passives and detractors for the period. Display values as switches between Percentage & volume, Volume and Percentage, and each profile has its own colour coding.
  • Feedback counter. The number of responses, with the comparisons you enable: Previous date range, and under it Variation from previous date range, Date range average, Since the very beginning, Year-over-year and Year-to-date.
  • Feedback status. The response count plus the statistics you turn on, each displayed as a percentage, a volume or both: With comment, Resolved, Un-resolved, With tag(s) and Without tags.
  • SAT score resume. A single score for the period, chosen in Score type.
  • Responses list. Individual verbatims. Sort by orders them, Max number of responses in the list caps them, Show "See all feedback" button adds a link to the dashboard, and five toggles decide what each response shows: Show segments, Show status, Show tags, Show comment and Show redirect button.
  • Top progression. The best and worst performers on the segment you choose. Set how many of each to display, optional Best performance threshold and Worst performance threshold, the Order by criterion, and optionally Display tags with its own category level and maximum.
  • Segment breakdown. A table with one row per segment value. Numbered rows ranks them, Score and Score type set the main figure, and Display variation, Display the number of responses, Respondants breakdown, Sentiment breakdown and With total row add columns. Under CUSTOM COLUMNS you add your own: name the column, pick its metric, and optionally enable its year-to-date variant, which always sits beside the column it derives from, so it cannot exist alone, cannot be renamed, and is unavailable when the digest already reports on a full year.
  • Strength and weakness. The best and worst scoring questions, with a Score type and a colour coding for each side.
  • Button. A call to action in the email. See the next section.
  • Tag breakdown. A table of tags with their volumes and sentiment. Category level chooses the depth, from All down to Sub-sub-sub, tags can be included or excluded by name, and Threshold hides tags below a minimum number of feedbacks.
  • Tag Tops/Flops. The tags that moved most, up and down, in two blocks whose titles you set. Choose the category level, whether to Display parent, a threshold, and which columns appear: Number/Share of mentions, Positive/Negative mentions and Variation, each with an editable header, plus Display longest verbatim.
  • Metric. One metric of your choice, with the same filters and a comparison chosen among the previous date range, since the very beginning, year-over-year and year-to-date.
  • Closed questions. Available in the section list.

Add a button to a digest

  1. Add the section. Click + Add section and choose Button.
  1. Label it. Enter what recipients will read in Button text.
  1. Choose where it goes. Type of link offers Diduenjoy, to send recipients into the platform, and External, for any other address. With Diduenjoy, the Page dropdown covers Statistics, Graphs, Exports, Messaging, Surveys, Templates, Custom Reports v2 and Download a custom report v2, along with the earlier Custom Reports and Download a custom report entries. Use the v2 options when you configure a new button.
  1. Complete the destination if it asks for one. Choosing Download a custom report v2 adds a Custom report to download field, which lists the reports that already exist on your account, so create the report first if the list is empty. Choosing Download a segment table adds a Report to download field where you pick the table by name.
  1. Publish. Like every change, the button reaches subscribers only once the digest is published.

The same report can be linked from as many digests as you like, and each digest is configured independently.

Duplicate, pause or delete a digest

  • Duplicate. From the ⋮ menu on a row, choose Duplicate, then whether to carry the subscriber list over. The copy always arrives in Draft, even when the original is live, and it reproduces the last published version: unpublished changes on the original are not copied.
  • Pause. In the editor, the chevron beside the digest name lets you pause it, which stops the sends without deleting anything.
  • Delete. From the ⋮ menu, choose Delete and confirm. Deleting takes everything with it, the send history and the statistics included, and nothing can be recovered. Pause the digest instead if you only want the sends to stop.

What this feature does not do

  • Digests are configured by administrators only. Recipients receive the email and never see the editor, and they cannot unsubscribe themselves: the footer asks them to contact their administrator.
  • The editor does not create metrics, segments or tags. Its sections display what is already configured for your company.
  • Nothing you change reaches a subscriber before you publish, whatever the preview shows.
