Who can use this feature

Rights: administrator, or a role with Users management rights enabled. That setting also lets a role be restricted to managing users of certain roles only, so what you can do here depends on how your own role was configured.

Location: the Users page, under Admin

Setup: the role you want to assign, and the segments you want to restrict the user to, have to exist already.

This feature is available to administrators only.

Overview

Adding someone to your account is not just creating a login. In the same form you decide what they can see, which stores or countries their figures cover, and which digests and alerts reach their inbox. Getting those three right at the invitation saves the round of corrections that follows a user discovering they see everything, or nothing.

Invite a user

  1. Open the users list. Go to the Users page, under Admin, then click Add users.
  1. Enter the email addresses. In Email address, type the address of the person you want to invite, or paste several at once to invite a group in a single action. The same address can be used more than once: each entry is a separate user with its own rights, which is how one person works across several accounts.

  1. Decide how they authenticate. Enable Single Sign-On (SAML SSO) if this user should sign in through your organisation's provider.
The toggle is greyed out until SAML SSO is configured for your company.
  1. Set their language. Pick the Users language, which sets the display language of their dashboard.
  1. Indicate a geographic area. Optional. Geoscope ties the user to a specific geographic area.
  1. Add their contact details. Optional. Click + Add first name, last name, phone... to complete their profile.
  1. Give them a role. Under Access, choose a Users role. This is what defines the permissions they get, so it is the field to get right.
  1. Restrict the data they see. Optional. Under Segments, click Add segment, pick a segment field, then the values to apply. The user then sees only the data matching those values. Leave this empty and they see everything their role allows.

  1. Choose their digests and alerts. Under Notifications, keep Inherited from user role to give them the digests and alerts attached to their role, which is the low-maintenance route, or switch to Custom to pick them for this user alone.
  1. Send the invitation. Click Invite user. They receive an invitation email and get access once they have activated their account.

None of this is locked in. Role, segments and notifications can all be changed later by opening the user from the list.

What this feature does not do

  • Inviting a user does not create roles or segments. Both are configured on their own pages beforehand, and this form only picks from what already exists.
  • SAML SSO cannot be set up from here. If the toggle is greyed out, the company has no SAML SSO configuration yet.
  • An invited user is not active until they have activated their account from the invitation email.
