Overview

Every user in a company account sees the same dashboards and accesses the same feedback, unless an administrator says otherwise. Teams responsible for a single market, a single channel, or that only need to check on progress end up seeing more than they need, and tracking who can do what across dozens of users becomes hard to manage one person at a time.

User roles solve this by attaching a set of permissions to a group of users instead of configuring each user one by one. The User Roles page lists two kinds of roles: Administrator, Manager and Read only are fixed roles provided by Diduenjoy, with permissions that cannot be changed, while a custom role is one you build yourself, choosing exactly which dashboards it opens, what it can do to other users, which feedback it can access, and which digests and alerts it inherits.

Create a custom role

  1. Open the list. Go to Admin > User Roles. The page lists the three basic roles as well as every custom role, with the number of users on each.

  1. Start a new role. Click Create a role, or use the โ‹ฎ menu on an existing custom role to duplicate it as a starting point instead of building from scratch.
  1. Name it. Type a name in Customized role's name. Since this is the only way members and other admins identify the role, use a name that reflects what it is for rather than who currently holds it.
  1. Configure its permissions. Set up the role using the sections below, then click Save.

Give a role access to the dashboard

  1. Turn on Dashboard Access to let this role's members open the dashboard, or turn it off to remove that access entirely. The change takes effect immediately: a member with no other role loses access to the platform as soon as you save.
  1. If you turned it on, set the access level for each area, using the table below as reference, then click Save.

Levels run from None up to the highest the area offers, and not every area offers the same range:

  • Summary lets members generate a structured summary of customer feedback in one click (see Untitled)
  • Explore lets members ask a free-text question about the verbatims in their filtered list and get an answer built from those verbatims (see Untitled).

Let a role manage other users

  1. Turn on Users management rights.
  1. Under Rights, choose which actions members can take on other users: Create, Edit, Delete. These three can be combined freely.
  1. Under Manageable users, choose which custom roles this role is allowed to manage. Leave it empty to let members manage users of every custom role. Only members of the Administrator role can manage Administrator, Manager and Read only users.
  1. Click Save.

Restrict which feedback a role can access

  1. Under Access to feedbacks, use Access surveys to list the surveys this role's members can see feedback from. Leave it empty to give access to every survey.
  1. Use Access segments to filter feedback by segment value:
    1. Click Add Segment and pick a segment from those set up for your company (see Untitled).
    1. Choose whether the role matches (=) or excludes (โ‰ ) the values you pick, then add one or more values. Leave the values empty to give access to every value of that segment.
    1. Turn on Delegate to user to let individual members change or remove this filter in their own settings, or leave it off to keep it fixed for everyone with this role.

  1. Click Save.

Assign default digests and alerts

A role can also carry a default set of digests and alerts, so members receive them automatically without an admin configuring every user one by one. See Untitled for the full procedure.

What this feature does not do

  • The permissions of a basic role, Administrator, Manager and Read only, cannot be changed. Create a custom role instead when a team needs a different combination of rights.
