Create an email template

Setup: for an email template in Basic mode, a logo file (PNG, JPG or JPEG, 3 MB maximum) and a banner image file (PNG, JPG, JPEG or GIF, 3 MB maximum).

Overview

An email template holds everything that surrounds your question: the subject line, your logo and banner, the body text, the way the recipient reaches the survey, and the footer links. You configure it once and every dispatch that uses it inherits the result.

Build the template

  1. Start a new template. Go to the Templates page, under Content in the sidebar, and click + Create a template.
  1. Name the template. Under Basic Information, fill in the Name field. The name is required and has to be unique in your company: a duplicate name blocks the save without displaying a message.
  1. Set the channel and the mode. Leave Template type on Email, then choose an Email type: Basic uses the form builder described in the rest of this guide. Custom replaces the Banner, Survey redirection and Social networks sections with a single HTML editor under Content, where you can insert placeholders such as {firstname}, resolved at dispatch against your company's segment attributes. A placeholder whose segment is absent from the dispatch data is replaced with an empty string, and the dispatch is not blocked, so check that every segment you reference travels with your data.
  1. Set the sender and the subject. In Sender alias, enter the name that appears in the recipient's inbox. In Subject, enter the subject line. The subject is required for every language of the template.
  1. Choose how the recipient reaches the survey. Under Survey redirection, pick one of the two modes, which are mutually exclusive. A blue dot marks the selected row. Call to action places a coloured button in the email: click the colour swatch on the right, default #0aa9ec, to set the button colour in HEX or RGB, and note that the button label is auto-translated for each language and remains editable. Main rating integrated embeds the survey's first question directly in the email: select a survey at the top of the preview to see the result, knowing that this selection drives the preview only, that the rating scale it shows is inherited from the survey and cannot be edited here, and that the real link between a template and a survey is made when you dispatch the survey.
  1. Configure the banner. Under Banner, upload your logo in Custom logo, set Background color with the colour picker, choose Logo position between Before banner and After banner, and import your image with Click to import in Banner image. In Redirection URL, enter the address the banner points to. That field is multilingual, so you can set a different address per language, and it applies no validation and adds no protocol, so type the full URL including https://. Only the banner image is clickable in the email, not the logo.
  1. Write the content. Under Content, fill in Title, Text with the rich-text editor, and Footer. The Text field is required for every language of the template.
  1. Add your footer links. Under Social networks, select the language tab you want, click the Icon cell to upload an icon (PNG, JPG or JPEG, 3 MB maximum, 35 by 35 pixels recommended), then enter the address in the URL cell, where https:// is added for you if you leave it out. Click + Add for another network and the bin icon to remove a row, which happens immediately and without confirmation. The section is entirely yours: any icon, any link, no predefined list of networks and no limit on the number of rows. Icons and addresses are set per language, and an orange warning marks a language tab whose row is still incomplete.
  1. Add your other languages. Follow Untitled.
  1. Save. Click Save at the top right. While a required field is missing, the button stays disabled and a yellow banner lists each missing item, for example "Missing name" or "Missing content for language: FR". There is no autosave and Cancel discards your changes without asking for confirmation. On success you return to the templates list, with no confirmation message, and the template is available for selection the next time you dispatch a survey.
